The plan is to try to organize a time to chat when as many interested parties as possible can attend. For those that can't attend and those that do, I plan to send out an email after the talk to recap what was discussed. Then I will allow ample time for all parties to reply.

I would like to limit the talks in scope so that we can stay focused and provide clear feedback and multiple viewpoints.
